Two jobs that are usually done together: understand the flow of work, then choose the smallest set of tools that supports it.
What we map
- Every step between a client enquiry and the finished piece of work.
- The tools used at each step, including the ones nobody logs into any more.
- Places where work waits on a person rather than a system.
- Steps done twice, or done by nobody until it becomes urgent.
The map is written in plain language and kept short. If it runs longer than a few pages, we have understood less than we should have.
Tool selection
Shortlists, not shopping lists.
- Requirements
- What the tool has to do, written as a checklist you can test against.
- Candidates
- Two or three options, with the trade-offs and the running cost stated for each.
- Recommendation
- One preferred option, one fallback, and the reason the others were set aside.
- Setup
- Accounts, permissions and migration arranged with you, or documented for your own team.
Questions we ask before recommending anything
- Who will actually use this every day, and who will only look at it monthly?
- What happens to the data if you stop paying for it?
- Does it export in a format you could move elsewhere?
- What is the annual cost once the team grows by two people?
